This privacy statement is intended to inform you about the personal data which we (Momentum Business Academy Ltd) hold in our systems and how we use it. Personal Data is a term used to describe any data which could identify you as a person.

What data do we hold about you?
For Marketing: We only collect basic personal data about you, enabling us to keep you updated with news, events and offers. This include your name and email address, and is only ever as per the information that you have opted to supply to us.
For Clients: We only hold the information which is required to send you an invoice; your business name, registration details, address and email information. We retain a copy of your invoicing information in accordance with accounting procedures.
For Suppliers: We retain a copy of your invoicing information in accordance with accounting procedures and to enable us to pay all relevant invoices.

Why do we need the data we hold?
We need to know this basic data in order to provide you with any notice in writing about service changes and updates, as well as to invoice you for items you have purchased.

Where do we hold our data?
For Marketing: Data is held within MailerLite, Hubspot and Calendly if you have purposefully opted to receive our marketing.
For clients: Data is held within Xero Cloud Accounting System for the purposes of invoicing. Your name and email address is also held within MemberVault and New Zenler which are our course and learning delivery platform.
For Suppliers: Invoices and Receipts may be held in Dext, and will be held in Xero Cloud Accounting.
Email Hosting: This is managed by Microsoft 365.
Website Services: If contact forms are completed on our website, the data will be held within our Web Provider’s server, which is held in the UK.

Who has access to your data?
For Marketing: The data we hold is processed only by our staff, website provider or marketing consultant.
For Clients and Suppliers: The data we hold is processed only by our staff or Accountant in the UK.

What steps do we take to protect ourselves from data threats?
Our computers have 2 layers of security protection – a permanent security scanning software and a VPN access point. All mobile devices have fingerprint entry and/or 5 minute screen locking functionality. Staff have been trained on common data breach activities, and so are vigilant at all times.

How long do we keep your data?
For Clients and Suppliers, we are required under UK tax law to keep your basic data (name, address, contact details) for a minimum of 6 years after which time it will be destroyed. Any information we use for marketing purposes will be kept until you notify us that you no longer wish to remain in our mailing list, at which point it will be permanently deleted.

Will 3rd parties (those not bound by contract to Momentum Business Academy Ltd) ever have access to your data?
No. We will never sell or share your data.
 
What are your rights?
You have the right to Request Access, Request Amendment or Request Erasure of the personal data we hold about you. If you believe the information we hold about you is incorrect, you may request to see this information and have it corrected or deleted. If you wish to raise a complaint on how we have handled your personal data, you can contact our Data Protection Officer who will investigate the matter. If you are not satisfied with our response or believe we are not acting in accordance with the law you can complain to the Information Commissioner’s Office (ICO).

What can you expect in the event of a Data Breach?
You can expect us to make you aware personally if we believe that your data has in any way found it’s way outside of our security policies. We will aim to do this within 3 hours of the timeframe we became aware of it. You can expect that we will support you fully in the event that we are responsible for your personal data leaking from our business.
